1. About This Policy
This Privacy Policy explains how personal information is handled in connection with einvoicing.ae, our communications and our e-invoicing advisory services.
References to “we”, “us” and “our” mean the business responsible for operating einvoicing.ae.
For questions about this policy or your personal information, contact info@einvoicing.ae.
2. Scope
This policy applies when you:
- Visit our website.
- Submit an enquiry or contact form.
- Request a demonstration, consultation or readiness assessment.
- Subscribe to our newsletter.
- Communicate with us about our services.
Where we process personal information in client invoice or ERP records solely on a client’s instructions, separate service and data-processing terms govern that processing. This website policy does not replace those arrangements.
3. Personal Information You Provide
Depending on how you contact us, you may provide:
- Your first name, surname or full name.
- Email address and telephone number.
- Company or organisation name.
- Enquiry subject and message.
- Information about your accounting systems, invoicing processes, ERP requirements or implementation needs.
Our newsletter form requests an email address. Website submissions can also include information identifying the form and the page from which it was submitted.
Business information may constitute personal information where it identifies an individual, including an employee, sole trader, customer or supplier.
During an agreed assessment, information you provide may include invoice samples or other records containing personal information. Please provide only information necessary for the assessment and use anonymised examples where possible.
Do not submit passwords, payment-card information or unnecessary identity or sensitive documents through general enquiry forms.
4. How We Use Personal Information
Information submitted through our forms and contact channels is used to:
- Understand and respond to your enquiry.
- Arrange requested consultations or demonstrations.
- Discuss your e-invoicing and ERP requirements.
- Provide agreed readiness assessments and advisory services.
- Communicate about an existing engagement.
- Provide newsletter updates you have requested.
- Handle privacy requests and related correspondence.
Personal information may also need to be processed to meet a specific legal obligation or establish, exercise or defend legal rights.
Information collected for one purpose should not be used for an incompatible purpose without an appropriate legal ground and any required notice or consent.
5. Legal Grounds for Processing
Where UAE Federal Decree-Law No. 45 of 2021 concerning the Protection of Personal Data applies, processing requires valid consent unless a statutory exception applies.
Relevant exceptions can include processing necessary to:
- Perform a contract to which you, as an individual, are a party.
- Take steps you request towards concluding, amending or ending that contract.
- Meet a specific obligation under applicable UAE law.
- Establish, exercise or defend legal rights.
The appropriate ground depends on the circumstances. Acting as a contact for a company does not automatically make you personally a party to that company’s contract.
Submitting an enquiry, requesting a demonstration or reading this policy does not automatically constitute consent to unrelated marketing.
Where processing relies on consent, you may withdraw it at any time by contacting us. Withdrawal does not affect processing lawfully carried out before consent was withdrawn.
6. Newsletter and Marketing Choices
Our newsletter provides UAE e-invoicing updates and compliance information to people who subscribe.
You can ask us to stop sending newsletters or other direct marketing by emailing info@einvoicing.ae. You can also use an unsubscribe facility where one is provided in the communication.
A marketing withdrawal does not necessarily prevent communications needed to answer an existing enquiry, deliver an agreed service or meet a legal obligation.
Limited information may need to be retained to record your withdrawal and prevent further unwanted marketing, where justified under applicable law.
7. Sharing Personal Information
Depending on the activity, relevant recipients may include:
- Providers supporting website hosting, maintenance and technical operations.
- Providers supporting email communications or newsletter delivery.
- Professional advisers where their involvement is necessary for a relevant matter.
- ERP vendors or Accredited Service Providers involved in an agreed client engagement.
- Courts, regulators or other authorities where disclosure is legally required.
Any sharing must be relevant to the purpose, limited to the information needed and supported by an applicable legal ground.
For client engagements, the relevant service arrangements should identify the parties receiving information and their responsibilities.
Submitting a website enquiry does not, by itself, authorise the transfer of your invoice data to an Accredited Service Provider or tax authority.
8. Website Features and Cookies
Our website includes Google-hosted fonts and an embedded Google Maps feature on the contact page.
When these features load, your browser connects to Google services. Google may receive technical information, including your IP address and browser details. Further information is available in the Google Privacy Policy.
Some blog pages include Facebook, X and LinkedIn sharing controls. Choosing these controls may take you to the relevant platform, where its own privacy terms apply.
Cookies and similar technologies can store information on your device or recognise your browser. Their operation depends on the website feature, provider and browser settings.
You can manage cookies through your browser settings. Restricting cookies or external content may affect the operation of some features. Browser controls do not replace any notice or consent required under applicable law.
9. Storage and International Transfers
Personal information submitted through the website may be handled in systems supporting website administration, correspondence, newsletter subscriptions and agreed services.
Where a provider or other recipient processes personal information outside the UAE, the relevant transfer must meet applicable data protection requirements.
Under the federal Personal Data Protection Law, international transfers are subject to the conditions in Articles 22 and 23. A transfer must have an applicable legal route and satisfy its conditions.
You may contact info@einvoicing.ae to request information about relevant recipients, overseas processing and the safeguards applicable to your personal information.
10. Retention
Personal information should be retained only while a specific lawful purpose requires it.
Relevant retention criteria include:
- Enquiries and demonstration requests: the time needed to resolve the request and complete necessary follow-up.
- Newsletter information: the duration of the subscription, together with any justified retention of consent or withdrawal records.
- Client engagement records: the time needed to perform the engagement and satisfy applicable legal record-keeping duties or handle relevant claims.
- Privacy requests: the time needed to resolve the request and retain necessary evidence of its handling.
A contractual provision does not, by itself, justify retaining unnecessary personal information indefinitely.
When information is no longer necessary for any continuing lawful purpose, it must be deleted or effectively anonymised.
Tax or e-invoice retention requirements for particular client records do not automatically determine how long website enquiries or newsletter information should be retained.
11. Security
Our public website uses HTTPS, which helps protect information transmitted between your browser and the website.
Applicable data protection law requires technical and organisational safeguards appropriate to the risks of processing. HTTPS does not, by itself, establish how information is protected after submission.
No internet transmission or storage system can be guaranteed completely secure.
If you believe information shared with us has been compromised, contact info@einvoicing.ae. Any incident must be assessed against the applicable legal requirements, including notification obligations where relevant.
12. Your Privacy Rights
Subject to applicable law and its conditions and exceptions, you may be entitled to:
- Obtain information about the personal data processed, its purposes, recipients, retention and overseas safeguards.
- Request correction of inaccurate information or completion of incomplete information.
- Request erasure or restriction of processing where the legal conditions are met.
- Object to direct marketing and associated profiling.
- Receive personal data you provided in a structured, machine-readable format where processing is automated and based on consent or contractual necessity.
- Request direct transfer to another controller where technically feasible.
- Object to qualifying automated decisions, including profiling, and request human review.
- Withdraw consent where processing relies on that consent.
- Complain to the competent data protection authority.
These rights are not absolute. For example, information may need to be retained to comply with a legal obligation or handle relevant legal claims.
Send requests to info@einvoicing.ae, using the subject “Privacy Request”. Include enough information to identify the relevant interaction.
Proportionate information may be needed to verify your identity or authority to act for another person. Please avoid sending unnecessary identity documents with your initial request.
13. External Links
Our website contains links to independent websites, including government portals and informational resources.
Those websites have their own privacy practices. Review their privacy notices before providing personal information. This policy does not govern processing independently carried out by those organisations.
14. Children’s Privacy
Our website presents business and professional e-invoicing services and is not directed at children.
If you believe personal information relating to a child has been provided to us unnecessarily, contact info@einvoicing.ae so the matter can be assessed under applicable requirements.
15. Changes to This Policy
This policy may be updated when our services, processing activities or applicable requirements change.
The date at the beginning identifies the latest revision. Updating this policy does not replace any additional notice or consent required before a new processing purpose takes effect.
